Type it once. Every system knows.
For businesses where the same customer, job or invoice is typed into three systems by hand. We connect your CRM, Xero, practice or job management, email and website with APIs, webhooks and clear sync rules, then monitor them so failures are caught before they cost you. Your team stops re-keying and starts trusting the data.
Signs you need this
If two or more of these sound familiar, there's likely time and money to recover.
Staff re-key the same data
A new customer goes into the CRM, then the job system, then Xero. Every re-key costs minutes and introduces errors someone pays for later.
Integrations fail silently
A connector stopped working weeks ago and nobody noticed until invoices went missing. There is no alert and no log of what failed.
Nobody knows which system is right
The address in the CRM differs from the one in Xero, and both differ from the job system. Staff check three places before they trust anything.
No-code chains run critical processes
Zapier or Make automations built up over years now run billing and onboarding, and only one person understands them. A single change can break something important.
What changes for the business
No more re-keying
Records created in one system appear in the others automatically, with the right fields mapped. Admin time goes to work that needs a person, and transcription errors stop reaching customers and invoices.
A clear owner for every field
Sync rules state which system is the source of truth for each field and what happens when two systems disagree. Data stays consistent instead of drifting apart.
Failures you hear about first
Every integration logs what it did, retries temporary failures and alerts a named person when it can't recover. Problems get fixed before a customer or your accountant finds them.
Faster handoffs
When a deal is won, the job is created, the welcome email sent and the deposit invoiced without anyone waiting on anyone else. Work moves at the speed of the system, not the inbox.
Fewer subscriptions
Direct integrations can replace paid connectors and duplicated tools whose only job is moving data. You stop paying for software that exists to copy information between other software.
A foundation for automation and AI
Once data flows reliably between systems, automations and AI assistants have accurate information to work with. Without it, they simply automate the mess.
What we build
Integration map
A diagram of every system, the data each holds, the current connections and the manual handoffs between them.
Sync rules and field mapping
For each record type: the system of record, field mappings, sync direction and timing, and conflict rules, written down and signed off.
API and webhook connections
Direct connections through each platform's REST or GraphQL API and webhooks, with signature verification and duplicate-safe processing.
Middleware where it makes sense
A lightweight integration service on Cloudflare Workers or your own cloud, or a well-governed no-code tool where volume and risk are low.
Monitoring and alerting
Logs, a status view and alerts for failed or delayed syncs, with automatic retries and a replay queue for records that need attention.
Documentation and runbooks
What each integration does, how to restart it and who to call, so your business isn't dependent on one person's memory.

How it runs
Timings are indicative and depend on your systems, data and approvals.
Map
We trace how customers, jobs and invoices move between systems today and measure the manual handoffs.
1 to 2 weeks (indicative)
Design the sync rules
We agree the system of record for each field, sync triggers, error handling and alerting, and check each platform's API limits.
1 to 2 weeks (indicative)
Build and test
Integrations are built against test accounts and sandboxes, with test cases for duplicates, failures and edge cases.
2 to 8 weeks (indicative)
Go live and monitor
A staged switch-on, followed by close monitoring and reconciliation against manual records.
1 to 2 weeks (indicative)
Maintain
API changes, credential rotation, monitoring and fixes are handled under a care plan.
Ongoing
Worked example
Trades and home services: quotes out faster, and followed up every time
An illustrative electrical, solar and HVAC business with 25 technicians takes enquiries through four channels, takes days to quote and re-keys every job into Xero. One intake, AI-drafted quotes approved by an estimator, automatic follow-up and a proper Xero connection release office time and stop paid-for quotes going cold.
- Phone, web form and email
- One enquiry record
- Site visit capture
- AI quote draft
- Estimator approval
- Follow-up and reminders
- Job management to Xero
- Reviews and dashboard
Guardrails, fit and measurement
Guardrails we apply
- Integration credentials use the narrowest permissions each platform allows, are stored as encrypted secrets and are rotated on a schedule.
- Inbound webhooks are verified and processed so duplicates are ignored, because platforms such as Stripe can send the same event more than once and retry undelivered events for up to three days.
- Integrations respect platform rate limits, such as Xero's 60 calls per minute and 5,000 calls per day per connected organisation, queuing and backing off rather than dropping records.
- Consent and unsubscribe status sync between your CRM and email platform, because the Spam Act requires unsubscribe requests to be honoured within 5 working days.
- Every sync is logged, so you can see what changed, when and why.
Not the right fit if
- One-off data moves. If you need data copied once, an import is cheaper than an integration.
- Systems with no API and no reliable export. We can sometimes work around this, but if a core system is closed, replacing it may be the better move.
- Low-volume, low-risk handoffs that a no-code tool already handles well. We would leave those alone.
What we measure
- Hours of manual re-keying per week
- Sync success rate and median time to recover from a failure
- Records with mismatched data between systems
- Time from deal won to job created and deposit invoiced
- Spend on middleware and connector subscriptions
Pricing
Integration work is scoped individually, usually after an Altitude Diagnostic or a fixed-scope discovery, once we have checked what each platform's API supports.
Questions, answered.
Should we use Zapier or Make, or build custom integrations?
For low-volume, low-risk handoffs, a well-governed no-code tool is often the right choice. Custom integrations make sense when volume is high, data is sensitive, the logic is complex or a failure would hit billing or customers. Many businesses end up with both, and we document which is which.
How much do integrations cost, and how are they scoped?
We scope integrations individually, usually after a Diagnostic or a fixed-scope discovery. Cost depends on the number of systems and record types, the quality of each platform's API, sync direction and frequency, and how much error handling the process needs. Our admin cost calculator shows what the manual handoffs cost you today.
What happens when an integration fails?
It retries automatically for temporary problems such as timeouts or rate limits, then queues the record and alerts a named person if it can't recover. Logs show exactly what failed and why, and records can be replayed once the cause is fixed.
Is it safe to connect our accounting and customer systems?
Done properly, yes. We use each platform's official API, the narrowest permissions available, encrypted credential storage, verified webhooks and full logging. Personal information only moves where there is a clear business purpose for it.
Who owns and maintains the integrations, and what if Altitude Creative disappears?
The integration code and logs sit in accounts in your organisation's name, and each integration has a runbook explaining what it does and how to restart it. A care plan covers API changes and credential rotation. If Altitude Creative were no longer around, another developer could take over from the documentation.
